The First 90 Days: When New Gym Members Decide to Stay

Nearly half of new gym members quit before month three. Use check-in and booking data in your CRM to spot who is drifting and reach them in time.

Modern Gym Dashboard Workspace.png

Most gym owners spend their energy on getting new members through the door. Much of the money leaks out after sign-up. Wodify's customer data found that 45% of new clients cancel within their first 90 days, while 53% of those who get past day 90 stay a year or longer. Across a full year, the HFA 2025 Benchmarking Report puts average gym retention at 66.4%, so roughly one member in three leaves every year.

Those numbers come from overseas, but anyone running a gym or studio in Thailand has probably watched the same pattern. A new member comes three times a week in month one, once a week in month two, and stops showing up in month three. Then the renewal date passes. The warning signs were in your data the whole time. Someone just needs to look at them early enough.

Signs a member is drifting

People rarely decide to quit in a single day. They come less often until not coming feels normal. Check these three things every week:

  • Check-ins dropping compared with the member's own first two or three weeks
  • More than 7 days without a visit, with no one reaching out
  • Booked classes they skip, or more frequent cancellations

If check-ins live in a notebook at the front desk and class bookings live in a LINE chat, none of these signs is visible. By the time anyone notices, the member has already let their package lapse.

A 90-day plan in three stages

Week one (days 1 to 7): get the member back for a second visit. Book a trainer to walk them through the equipment or a trial class that fits their goal, and send a message showing how to book classes on their own. People who can't figure out how to book rarely ask. They just stay home.

Month one (days 8 to 30): build a routine. Encourage the same class on the same day and time each week, and introduce them to other members who train at that hour. If they go quiet for more than a week, have the trainer they already know send the message. A note from someone they've met works better than a promotion.

Months two and three (days 31 to 90): show members how far they've come. Book a second body measurement, or send a monthly summary of how many times they trained. A member who can see their own progress has a reason to renew beyond remembering that they paid.

Running the first 90 days on FitUP

FitUP keeps member records, class bookings, POS package sales and CRM history in one system. Open any member's profile to see their last visit, which classes they booked and how much of their package is left. Your front-desk team no longer has to cross-check a notebook against a chat thread.

Members book classes and check their remaining sessions in the member app on LINE OA. They already use LINE every day, so there is nothing new to download, and an easy booking flow helps them through that first week. As the owner, you can see how many of this month's new members keep coming back and who should hear from a trainer this week.

Start with members who joined in the last 30 days. Pull the ones who haven't checked in for more than 7 days and split the list among your trainers to contact this week.
